UNIT 1
Business correspondence
We can’t imagine business without communication. Business is
made through communication. It can be face-to-face conversation
organized in the office or at the restaurant or business correspondence.
It can be held with the help of regular mail or E-mail.
There are special rules to organize your letter in a right way.
First your should write your own name and address (in the
right up corner), then write down the title, name and address of the
recipient.
It is very important to use the correct title of the person you are
addressing to.
Dr. — means doctor (a person, who has Doctor’s degree or PhD)
Professor — if you are addressing the professor.
Mr. / Sir — if you are addressing a male, but is not sure in his
title.
Mrs. — If you are addressing a female (married)
Miss — If you are addressing a female (single)
Madam — addressing a female if you are not sure in her family
status.
Titles Doctor, Professor, Mr., Mrs., Miss are followed by a
surname.
Titles Sir and Madam are not followed by a surname.
Finishing the letter you should write one of the following
phases:
Yours sincerely, Truly yours, sign the letter and put your (title),
name and surname.
If you are addressing the officials or the members of noble
and royal families, your should address them in a different way.
For example. The Queen is addressed as «Your Majesty» and
subsequently «Ma’am.» A Royal Prince is addressed as «Your Royal
Highness» and subsequently «Sir.» A Royal Princess is addressed
6

as «Your Royal Highness» and subsequently «Ma’am.» A Knight is
addressed as «Sir» and the wife of a Knight as «Lady».
An Archbishop is addressed as «Your Grace» and a bishop is
addressed as «My Lord». An ambassador is addressed as «Your
Excellency». In writing they should be addressed as «Dear Ambassador»
or «Dear High Commissioner» if a representative of a Commonwealth
country, or very formally as «Your Excellency».
Here are several examples of the letters:

Dear Mr. Marin,
I am a first-year student in the M..A. Program at the wharton business school in Philadelphia.
I understand that you are heading the independent ukrainian airline. I
have heard from my friend mr. Bill eastmann, a student at duke university’s
fuqua school of business, that you might wish to have an american m.B.A.
Student work with your airline this summer as an intern. I am very interested
in the possibility of such an internship during the summer of 2006.
My professional experience has given me an in-depth knowledge of
the air transportation industry. I have, in particular, worked for american.
Airlines, the federal aviation administration, and kurth & company, Inc.,
An aviation consulting firm where i was manager of airline. Analysis. My
responsibilities included the study of schedules, fares, equipment selection,
and financial results. Notably, I prepared numerous feasibility studies for
both jet and turboprop routes, including passenger and pure cargo service,
for proposed transatlantic and transpacific services.
I wish to place this experience at the disposal of your airline. I believe
strongly that rny knowledge of the deregulated air transportation industry
in the united states could be quite beneficial to your carrier.
I have enclosed a copy of my resume. If my background and
qualifications are of interest to you, please telephone me at (215) 748-3037. 1
Would be interested in meeting with you in mid-april in new york to discuss
further the possibility of such a summer position and your requirements.
Sincerely,
Mark Diamond
