How to Create and Print State or Presidents Cup Rosters –2014 Spring Season
The creation, approval, and printing process for Cup rosters for the 2014 competitions has changed significantly
from preceding years. This new submission and approval process for Cup rosters is an advance look at how team
documents for all travel teams will be approved, starting with the new seasonal year (2014 Fall season).
In the following sections, “Cup” refers to State Cup and to Presidents Cup. While there may be differences in the
rules between the two competitions, there is no difference in the steps taken for roster creation, approval, and
printing. The major changes are:

Cup rosters cannot be printed from the system until they have been approved.
The Cup rosters are submitted electronically to the assigned MSYSA Registrar. This happens when the
team clicks the “Submit Team” button.
The MSYSA Registrar reviews the Cup roster “on screen;” Assuming all is in order, the Registrar selects
“Approve Team,” which initiates the following:
o Approval signature and MSYSA stamp is applied to the roster within the on line system
o The ability to print the roster is restored
Once the roster has been approved, the team is able to print the MSYSA-approved Cup roster
The steps for creating and submitting the Cup roster require password access to the on line registration system, so
are performed by the Primary Team Contact (“PTC”):
1. Log in to the system; select Access Team Management, then Continue.
2. Select the team; on the Team Main Page, select Create Cup Team.
3. Select players from the league roster to be added to the Cup roster (at least nine players must be selected
to meet Cup roster continuity requirements).
4. Select Add Selected Players to Cup Team. The system will ask if you are sure; select OK or Cancel
(Cancel allows the player selections to be restarted in case there was an error).
5. After the Cup team has been created, the system provides a summary window. Close this window to
return to the Team Main Page for the league team.
6. At this point, the newly created Cup team can be selected from the Access Team Management screen for
further actions.
7. If Club Pass players will not be added to the Cup roster, jump to Step 9. Otherwise:
a. (Note: Club Pass players must be registered in the Cup team’s club prior to the roster freeze date
for the Cup team.)
b. From the Team Main Page, select Data Type Players.
c. (Note: For each Club Pass player to be added, either the MSYSA Player ID, or the first and last
names and date of birth are required for player lookup.)
d. Select Add Travel Player Within Club. In the Player Information window, enter the player
lookup data; then select Retrieve Player.
e. The selected player appears in a new window. Click the selection circle, then Add Selected
Player to Cup Team. A window confirms completion of the requested addition; close this
window to return to player selection.
f. Repeat Steps (d) and (e) for each Club Pass player to be added.
8. If the Cup team is not in the U-13 age group, jump to Step 9. MSYSA league rosters for U-13 teams are
limited to 18 players. For the 2014 Cup season, U-13 teams may create expanded Cup rosters, with a
maximum of 22 players. The additional players can be a mixture of Club Pass players (Step 7, Within
Club travel players) or Outside of Club travel players, described in this step. If Outside of Club travel
players will not be added to the Cup roster, skip to Step 9. Otherwise:
a. (Note: Outside of Club travel players must meet certain restrictions in order to be eligible for
addition to the U-13 Cup roster. They cannot currently be on any travel roster as a Primary
player. Released players, and players registered as Non-Rostered Guest Players are eligible.)
b. Navigate to the Data Type Players screen.
c. Select Add Travel Player Outside of the Club. Enter the player lookup data; then select Retrieve
Player.
d. The selected player appears in a new window. Click the selection circle, then Add Selected
Player to Cup Team. A window confirms completion of the requested addition; close this
window to return to player selection.
e. Repeat Steps (c) and (d) for each Outside of Club travel player to be added.
9. Under the new system, the Cup roster cannot be reviewed by the Associate State Registrar (ASR) until the
PTC selects Submit Team on the team main page. Since Submit Team locks the roster, preventing any
further changes or corrections, this should not be done until the following steps have been completed:

a. Addition of players to the Cup roster has been completed, with jersey numbers entered and
reviewed to eliminate duplicates.
b. The Cup team Audit Report has been reviewed and, if applicable, any rule Failures or Warnings
have been fixed. The Audit Report button is on the Team Main Page.
c. The Cup roster image has been reviewed for accuracy and completeness. Since the roster cannot
be printed until after approval, a new feature was added to the system. There is a new button on
the Team Main Page, Roster Information. This selection displays player and team official data,
as it would be printed on the roster. The familiar format should help in detecting any errors.
10. After completing the review (and repair, if applicable) steps described above, select Submit Team to
signal that the Cup roster is ready for ASR review and approval.
11. Assuming that the roster passes the review, the ASR selects Approve Team. This triggers the system to
add approval signature and MSYSA stamp images to the Cup roster, and restores the ability to print the
roster.
It is desirable to not submit the Cup roster for approval until it is the final version. However, things do change, so
it may be necessary to change a Cup roster that has already been approved. Note that player additions can only be
done before the Cup roster freeze date for the team’s Gender/Age group. Players can be released at any time; but
if they are released after the roster freeze date they are not eligible for Cup play in the current seasonal year.
If it does become necessary to make changes to an approved Cup roster, all that’s needed is for the PTC to log in
to the database system and select the Cup team through the Access Team Management screen. Player additions to
the Cup roster can be accomplished using the above instructions starting at Step 7. Player releases can be initiated
by navigating to the Data Type Players screen; selecting the player, and clicking Release a Player. Submission of
the updated roster to the ASR follows the above instructions, starting at Step 9.
